Booking Terms & Conditions

These Terms & Conditions apply to all bookings made with ChatBox Studios.
1. Booking & Payment
A booking is confirmed once:
This agreement is accepted, and
A 50% non-refundable booking fee is paid.
The booking fee secures your event date exclusively and is non-refundable due to demand and loss of availability.
Final balance:
Private clients: Due upon handover of final assets
Business clients: Due within 30 days of invoice
ChatBox Studios reserves the right to withhold delivery until payment is received in full.
2. Coverage & Services
Coverage includes professional setup, live recording time, and de-rig, as outlined in your agreed package.
Recording durations, deliverables, formats, and turnaround times are agreed in advance and may vary slightly depending on event flow and guest participation.
3. Creative Control & Editing
ChatBox Studios retains full creative and editorial control over all filmed and edited content. While we aim to include as many guest contributions as possible, not all recordings may be suitable for inclusion due to clarity, coherence, repetition, audio quality, or overall flow. Excluded footage does not reflect the value of the individual contribution.
While ChatBox is designed to encourage natural, engaging guest participation, the quality, tone and energy of individual contributions are outside of ChatBox Studios’ control and may vary depending on guest willingness, confidence and sobriety.
One round of minor revisions may be requested where reasonable. Revision requests are subject to the executive decision of ChatBox Studios to ensure creative integrity and timely delivery.
Requests that significantly change the agreed creative direction, tone, or structure may be declined or charged additionally.
4. Usage Rights & Portfolio Use
Clients receive a licence to view, share, and distribute the final film for personal, internal, or organic promotional use.
ChatBox Studios may use footage for portfolio, website, social media, and marketing purposes.
Clients may opt out of portfolio use, but it is the client’s responsibility to notify ChatBox Studios in writing prior to the event.
5. Cancellation & Rescheduling
The booking fee is non-refundable.
If a booking is cancelled, the booking fee will be retained. Rescheduling is subject to availability. If ChatBox Studios is unavailable for a new date, the cancellation will be treated as final.
6. Delays, Force Majeure & Technical Issues
ChatBox Studios will take all reasonable steps to deliver agreed services.
In the unlikely event of delays caused by circumstances beyond our control (including illness, venue restrictions, or technical failure), liability is limited to a proportionate refund of the affected service.
7. Limitation of Liability
ChatBox Studios’ liability is limited to the total amount paid by the client.
ChatBox Studios is not responsible for missed content due to guest availability, venue restrictions, or event scheduling beyond our control.
8. Acceptance of Terms
By booking ChatBox Studios, the client confirms acceptance of these Terms & Conditions.
